The key idea
The best tool depends on the task, data, review needs and total cost of operation. A feature checklist alone does not establish suitability.

Our method
Write a shared test brief and evaluation rubric. Compare candidates on representative inputs, including exceptions. Examine permissions, exportability, integration effort, support and maintenance. Record assumptions about licence tiers and availability instead of treating them as fixed.
How to assess progress
Count the time needed to prepare, review and maintain outputs. Recheck current vendor terms before purchasing. Keep an exit path if the tool no longer fits the workflow.
Decision
Decide the purchase around a specific workflow and its constraints. Separate essential conditions, such as permitted data handling or an export format, from preferences such as interface convenience. Eliminate candidates that fail an essential condition before investing effort in a detailed quality comparison.
Use a tool, configure a workflow or build something custom?
Before comparing products, decide what kind of solution the task needs. More development is not necessarily more useful: the simplest option that meets the requirements may be enough.
What fails today? What observable result would justify investing, and who will run it? If those answers are missing, clarify the need or defer. Keeping the existing tool is a valid decision.
For help framing an unresolved choice, you can consider AI Opportunity Sprint. It covers analysis and design, including tool recommendations and a pilot brief—not implementation or integrations.
This comparison is MindVerve's editorial synthesis of Microsoft planning principles and Anthropic's workflow and agent guidance, not a vendor-standard classification, product test or endorsement.
Exercise
Give each remaining candidate the same three representative tasks and one difficult case in the account environment you would actually use. Record setup, input preparation, output quality, review effort and recovery from failure. Test an export or handoff to the next system rather than assuming that a feature description guarantees a workable connection.

Deliverable
Deliver a scorecard with measured results, essential conditions, observed limitations, current quoted costs and unverified assumptions. Add a simple ownership estimate for training, administration and maintenance, plus an exit exercise showing how prompts, files and records would be retrieved. Recommend a candidate only for the scope that was tested.
Pitfall
Do not compare one tool's polished demonstration with another tool's first unconfigured attempt. Use equivalent preparation and document assistance received. A slightly weaker draft may still be more useful if the complete workflow is easier to review, operate and transfer to colleagues.
